How to Set Up Auto-Apply for Events

1. Connect Your Google Calendar

Go to:

https://trucks.bestfoodtrucks.com/auto-apply

• If you don't see the auto-apply option, email us at sales@bestfoodtrucks.com and we'll activate it for you

Click Authorize Google Account and select the calendar you want to use.

Then enable:

• Import events from Google Calendar into BFT
• Export BFT bookings to Google Calendar

This allows Best Food Trucks to see when your truck is available or busy and prevents scheduling conflicts.

2. Choose Which Events to Auto-Apply To

Under the General tab, choose which events your truck should automatically apply to.

 You can enable:

• Events from organizers (Organizers running recurring lots)
• Events from customers (Customers looking for a food truck for a one time event)

You can also add a short message to customers that will appear when they see your truck.

3. Select Your Event Menu

Open the Menu tab.

Choose which menu you want customers to see when your truck auto-applies to events.

This should be one of the menus you created in your Menu Section for regular service.

Click Save Changes.

4. Set Your Pricing and Minimum Guarantee

Open the Pricing tab.

Here you can set your minimum sales guarantees and pricing rules.

You can configure pricing based on:

• Regular weekdays
• Premium days (ex: Saturday and Sunday)
• High-season months
• Off-season months

You can also set:

• Your base minimum
• Your per-hour rate for additional time

Click Save Changes when finished.

Enter the days and hours your truck is typically available to operate.

You can configure:

• What days of the week you are available
• Your operating hours for each day
• Your maximum hours per event
• Your travel radius

This tells the system which events your truck can participate in.

 Click Save Changes.

You’re Ready

Once these steps are complete, your truck can start appearing in Auto-Apply event opportunities when customers submit event requests.
